Senior Administrator

 
I'm currently searching for a senior admin assistant for a 3 month fixed term contract with a children's charity based in the City of London.
 
Job Purpose:
To provide focused administrative support across the Alliance Development and Joint Actions teams, primarily supporting the logistics and administration planning of our annual Assembly of Members event in Guatemala in October.
The Senior Administrative Assistant is also a central resource for the wider charity and members, providing administrative and logistics support for travel, events and meetings, and ensuring travel security measures are adhered to.
 
Key Responsibilities:
Supporting the Alliance Development and Joint Action Project teams with the smooth running of the charity activities and projects, including logistics support for meetings,
translation, coordinating requests for information, printing and sending out documents and resources to members etc.
 
Event support and planning
Working closely with the Head of Alliance Development to support the logistics organisation involved with the event planning for the annual Assembly of Members meeting and conference.
Providing logistical support for other meetings and events as required

 
Member scoping and onboarding
Supporting logistical coordination of new member scoping trips, setting up meetings and planning in-country travel schedules

 
 
Travel Administration
Supporting Secretariat and members with the travel booking process and with travel arrangements, including sourcing flights and accommodation, liaising with travel security providers, and supporting processing visa applications.
Working closely with HR to ensure that the necessary authorisation and travel security procedures are adhered to.
Processing travel invoices for payment.

 
General administration
Supporting efficient communication and the provision of administrative support across the charity, responding to requests from members and across all teams and projects.
Undertaking any other reasonable duties as required to support effective administration across the charity
