Executive Assistant to Secretary General
An International non-governmental organisation that focus on human right are seeking an enthusiastic and talented EA to the Secretary General. The Office of the Secretary General supports and advises the Secretary General and other members of the International Secretariat"s senior leadership team in their leadership responsibilities, assisting in the provision of overall direction for the International Secretariat and in the implementation of key senior level decisions.
The successful candidate should have an understanding and overview of the work of the Secretary General and her/his Office to enable the postholder to fully support the Secretary General, to act as a gatekeeper to his/her time and attention, and to prioritise and manage their own workload in an informed and effective manner.
•Manages the Secretary General"s inbox, prioritizing, dealing with and responding swiftly and appropriately to all emails.
•Manages the Secretary General"s daily diary, and takes responsibility for scheduling meetings, arranging travel, coordinating agendas and briefings, and communicating and following up on action points or decisions.
•Sometimes takes minutes in the Secretary General"s meetings.
•Ensures the Secretary General has all the necessary and pertinent information he/she requires for each aspect of the diary, by coordinating the provision of meeting papers, briefs and documents.
•Maintains records of all travel expenditure of the Secretary General and prepares expense reports of Secretary General's travel.
•Understands and uses a broad range of internal systems and processes
•Undertakes other tasks and projects as directed by the Secretary General or the Head of the Office of the Secretary General.
In order to apply you should have the following skills and experience:
•Significant experience in providing high-level executive support at CEO level or equivalent in an organization of similar size and complexity, including successfully and professionally managing their inbox and diary, facilitating their workload, and representing their Office to all stakeholders.
•Experience working globally and across cultures, time zones and languages.
•Experience of coordinating complex international travel including researching and booking flights and local travel, and ensuring timely delivery of visas.
•Good numeracy skills, ideally with experience of processing expenses.
•Ability to communicate clearly, concisely and diplomatically in English – verbally and in writing, face to face and over the telephone. Experience of drafting correspondence and other documents on behalf of a senior executive.
•Strong inter-personal skills, including good negotiation and diplomacy skills and the ability to influence and persuade others.
•Courteous and customer focused, with experience of service provision. Experience and ability to interact with high level interlocutors.
