Part-time Administrator

A Faith-based charity are looking for a part-time administrator for 6 months. The candidate will need to work professionally, flexibly and collaboratively with colleagues to provide the full range of Admin Support to the Joint Public Issues Team by working within the JPIT/M&A teams helping them to achieve their individual objectives. Please note this role is a part-time 6 month FTC.

Key responsibilities

Administrative Support within the Joint Public Issues Team, including: diary management; minute taking; travel arrangements, processing expenses, financial processes, enquiries; events and correspondence.
Responsible for tasks within JPIT, ensuring work carried out using own initiative and taking ownership of regular pieces of work and being held accountable for the work.
Comply with data protection legislation and associated regulations.
Acting in the absence of senior colleagues and within agreed parameters progressing work on own initiative, making decisions about operational or process issues necessary to ensure that all deadlines are met.
Supervising the arrangement and servicing of meetings essential to JPIT ensuring appropriate actions are taken before, during and after each meeting. Booking resources, refreshments and rooms.
Prepare documents, periodic reports and other presentations as required, meeting personal deadlines and agreeing and holding others contributing to this work, to synchronised
Support other administrative staff who may work within JPIT, perhaps part time, linked to specific projects or other programs of work.
Support the wider Team from time to time, including assisting colleagues supporting other parts of the Connexional Team as they face peaks in their own areas of work
To carry out minute taking as part of role and ad hoc requests.
Any other reasonable duties as requested by the Policy and Engagement Officer and JPIT team leader

In order to apply you should have the following skills and experience:

Proven ability of providing administrative support to a senior executive, or within a support team.
Proven ability to work as a member of a team and to help and encourage others as needed
Ability to master a wide range of subject matter and understand links between them
Ability to work well under pressure
Proven ability of working appropriately with highly confidential information.
Ability and willingness to follow instructions
A diplomatic and clear telephone manner
Ability and willingness to engage winningly with a wide range of visitors face to face or on the telephone
Demonstrates good interpersonal skills
Proven ability of prioritising a range of options in a demanding environment where all options cannot be undertaken
Proficient Keyboard / PC skills in Excel and Word
Knowledge of other Microsoft products
