I am excited to be working alongside an amazing sustainability charity in search of and experienced Personal Assistant to support the allocated Directors, being the first point of contact, having an oversight of their diaries and the appointments within them to help coordinate their busy schedules, as well as to provide team and/or project administration support as required.

Key responsibilities:
Be the first point of contact for the Directors, having an oversight of their digital diaries scheduling and coordinating appointments, having due consideration for the work/life balance of the Directors.
Keep the Directors informed of updates in their diary on a daily basis and be responsible for optimising their workload, including proactively planning and prioritising appointments, identifying and resolving appointment conflicts, and ensuring coordination with private commitments.
Proactively manage emails on behalf of the Directors replying to both co-workers and external contacts to schedule meetings
Carry out tasks delegated by the Directors including (but not limited to) information gathering, research, compiling documents, presentations and handouts
Process Directors' expenses and timesheets
Proactively book team and individual meetings to ensure that the Directors meet with their team on a regular basis (which may be across several different time zones)
Draft presentations using software programmes (e.g. PowerPoint/Google Slides) from a verbal or written outline keeping close attention to deadlines and following up with contributors to ensure all documents are delivered on time
Provide project management support for ongoing projects and ad hoc project support, including carrying out research and using organisational systems and tools that enable collaborative working
Support event and meeting coordination as and when required
Organise travel and associated logistics as required
Support workload peaks within the administrators team including during busy periods or holidays
Contribute to shared organisational activities and shared learning across projects

Accountable for:
Effective oversight of the Directors' digital diaries
Effective, timely and quality delivery of delegated tasks commensurable with the role
Accurate and timely recording and processing of Directors' expenses, invoices, and timesheets


Personal Specifications:
No previous qualifications or education is required but having some previous experience in a busy work environment will be beneficial
Ability to work effectively in a professional business environment with approachable and curious, attitude
Ability to work with others to tech support workshops and the delivery of meetings
Genuine interest in developing administrative skills, organising tasks, scheduling meetings, events, logistics
Ability to be proactive in avoiding diary clashes to enable themselves and others to stay on top of things
Be able to solve problems by taking initiative, reaching out to people and asking questions
Have an excellent attention to detail including ability to self-check own work
A team player able to work effectively with people from across the organisation, from different countries, cultures and time zones.
