Harris Hill is working with an Animal charity in their search for an interim, part time Administrator ASAP until early 2022. The role is 20 hours per week

The Administration Assistant will work closely with the Executive Assistant, providing full administrative support to the Chief Executive Team and other directorates. In this busy role, the post holder will build strong relationships across the organisation to ensure tasks are completed quickly and efficiently.

Administration

Assist the EA with full spectrum of administrative support
Respond to enquiries from staff across the organization
Ensure that all electronic files are up to date and that information is available when required
Book rooms and provide refreshments as requested by the EA
Answer and manage incoming calls to the EA's office in their absence
Processing invoices and raising POs
Collate relevant documentation for meeting agendas and reports for the EA
Maintain, develop and follow effective administration systems and procedures


Travel
Input budgetary information for staff travel
Maintain and circulate the travel diary for all teams
Apply for work visas for staff and trustees as determined by local regulations, or supporting staff applications where such representations can only be made by the individual concerned
Advise travelers of any information relevant to their travel plans, including delays and security incidents
Advise staff of all approved trip reports, noting the location of such files to staff, trustees and appropriate other persons

Experience:
Business Administration qualification (desirable but not essential)
Good working knowledge of Microsoft Office Suite
Knowledge of the requirements and expectations of working in the charity sector
Understanding of Data Protection and GDPR principles
Ability to speak French or Arabic would be advantageous
