Administrator

Job description

A small charity trust based in London are looking for an Administrator. The successful candidate will be the charity's front of house and responsible for greeting all visitors and responding to phone enquiries from applicants. They are pivotal in supporting the smooth administration of the office, including supporting the Fellowship team and the selection process. The Administrator also organises the biannual House of Lords tea and supports the Fellowship Director with the administration of the Regional Associations.

Key responsibilities

Responsible for answering incoming calls and opening, distributing the daily post and responding to or redirecting emails sent to the central email address.
Liaising with Church House security regarding visitors and welcoming all visitors to the office and offering them refreshments.
Assisting with all events and the set-up of meetings held at the charities offices, including ensuring refreshments are available.
General administrative support for the charity's fundraising programme, when required.
General administrative support for the Communications team, when required.
Giving support to applicants by telephone and email.
Assisting the Data Manager and the Fellowship Team with the processing of the annual applications.
Supporting the interviews of approximately 250 applicant interviews each January, including travel information, welcoming candidates and arranging all daily catering associated with the interviews.
Assisting the Fellowship Support Manager with the administration of new Fellows.
Responsibility for creating and sending thank you letters on behalf of returning Fellows to those who have helped them on their travels.
Managing the printing and issuing of the War Room cards.
Throughout the year, responsible for processing memorabilia purchase orders.

Person specification

Excellent communication and interpersonal skills for communicating face-to-face, in writing and by telephone with individuals at all levels
Excellent prioritisation skills and the ability to manage competing demands
Experience of liaising with, and managing relationships with suppliers and organisations
Experience in event management
Strong IT skills, including proficiency in all aspects of Microsoft Office, and
experience of working with databases/CRM, preferably Salesforce
