Careers and Universities Administrator

Job description

I am delighted to be working alongside an outstanding Independent School in search of a Careers and Universities Administrator. This role is to ensure that all administrative tasks related to the work of the Careers and Universities Department are completed accurately, efficiently and on time.
The successful candidate will be expected to demonstrate commitment to continuously improving the operation of the Department by making suggestions to improve processes, working practices and documents.

To support the:
Director of Careers and Universities, the Head of US Universities, the Head of Careers and all the support staff in the Careers and Universities Department
Pupils and former pupils with their university applications and answering and researching university and career related queries
Marketing department by providing figures, information and publications.

Specific responsibilities:
Act as Universities Applications Administrator, which involves:
being the UCAS Registered Centre Correspondent
setting up the UCAS Application Cycle (adding staff, school details, exam details)
giving training to new staff relating to the technicalities of the UCAS system
Administer the UCAS internet application system, proof-read forms before submission and ask pupil and former pupil applicants to make corrections. Track applications on UCAS Adviser Track and using UCAS Course Search
Register candidates and liaise with the exams officer, HODs, pupils, OPs and parents regarding University Admissions Exams (BMAT, TSA, ELAT, HAT, CAT, MAT, STEP etc). Research the tests to determine which tests are required for which university subjects and update the Department's Higher Education handbook and intranet
Administer applications to foreign universities. Be responsible for compiling, verifying, uploading and sending transcripts to US universities at various points in the application process including following the publication of A Levels results.
Speak to US college admissions officers and registrars regarding A Level results and certificates as required.
Promptly acknowledge/respond to emails from pupils, staff, parents, universities, employers and careers organisations.
Under the supervision of the Director of Careers and Universities, produce and update all departmental publications for pupils and parents.
Supervise a part-time assistant.
Participate in the organisation of the various activities and events held by the Department.
Maintain the Departmental intranet site and relevant school website pages.
Maintain the Careers & Universities resource centre (order books and prospectuses, update displays and evaluate new software for the department).
Maintain records for former pupils (UCAS reports and leavers' files).
Maintain and update regular communications to the parent portal/intranet.
Keep departmental meetings minutes.
Maintain a manual documenting all key departmental processes and procedures.
Participate in the organisation of the Department's arrangements for A Level Results Day (normally mid- August) and present all relevant data to the DCU.
Produce transcripts of exam results for pupils going to Summer Schools (mostly in the US).
