Events and Project Officer

Job description

A great opportunity has arisen for an Events and Project Officer for a fantastic charity based in London in order to provide support to the planning and delivery of large scale special/high profile events, as well as leading on smaller, bespoke events. In addition to this, the Events and Project Officer will  co-ordinate key projects within Fundraising and the Customer Engagement and Brand teams, keeping them on track and to deadline.

Key responsibilities:

Coordinating processes that assist in the delivery of our event strategy, including our flagship events, such as High Value Fundraising dinners, National Conferences and Awards. Responsibilities include ensuring that detailed project plans and timelines are kept up to date for all events, attending and participating in all events meetings, liaising with internal stakeholders at all levels, and assisting in all event logistics from start to finish. With the support of the Special Events, Manager, ensuring that key deadlines are met and activities are delivered.

To coordinate bespoke events outside of our regular calendar, such as small-scale dinners and receptions. Responsible for all end to end planning, delivery, and evaluation.

To work with key stakeholders on co-ordinating key projects, including developing project plan timelines, meeting coordination and minute taking, research, presenting findings to internal teams and building strong relationships with stakeholders across multiple departments to ensure all timelines are adhered to.

To work with the Special Events Manager on developing creative briefs as and when requests for events and projects arise.

To directly liaise with external suppliers – venues, caterers, designers, printers, lighting, and production etc., to  support with the delivery of events to budget and to an exceptional standard.

Record all relevant supporter interaction on our CRM systems ensuring GDPR compliance and accuracy.

Keep track of  event budgets and manage purchase orders and invoices on our financial system NAV.

To organise the production of information in a range of accessible media for all projects and events both internally and externally.

Take own responsibility in keeping up to date and trained on all relevant areas of compliance, particularly GDPR, Gift Aid and VAT rules.

Representation for Special Events Manager and/or Engagement Manager at internal or external meetings.

 

 

Person specification:

Experience of co-ordinating and developing events

Ability to use effective tools and resources to plan, deliver and evaluate an event/project

 Ability to prioritise tasks when faced with multiple deadlines

Ability to liaise with a range of different internal and external audiences   

Experience of using Microsoft Office packages: Microsoft Word, Excel, PowerPoint and Outlook and the ability to learn and use new software where necessary

Experience of using a Customer Relationship Management system and/or Fundraising database.

Ability to develop effective and supportive relationships with all colleagues within and outside the section

Ability to adopt a flexible approach to meeting customer needs.

Ability to interact with others in a sensitive and diplomatic manner, able to build rapport and establish effective relationships.

Strong organisational skills, with the ability to create efficient work schedules, prioritise own workload and meet strict deadlines.

Ability to forward plan and follow up on actions, to be proactive and have a flexible approach to changing work patterns and priorities

Desirable

Experience of working within a charity or fundraising environment

Understanding of running events/projects within a non-profit environment.
