Executive Assistant

Job description

I am currently looking for an experienced and highly motivated Executive Assistance for an amazing new National Health charity, to provide diary management and support to the Trustees and Executive Team. 
 
Main duties:
Support the Operations & Compliance Manager and the Finance Officer 
Support the Executive team proving oversight and monitoring performance of charity operations where necessary
Act as first point of contact for operational staff and collate queries as well as respond to queries sent to the shared mailbox
Coordinate papers and preparation required for Board and other meetings
Take formal minutes at Board and notes at other meetings: ensure these are well-presented, circulated and actioned
Ensure compliance with GDPR, Companies House and the Charity Commission
Basic research including local data and relevant information for briefings or pitches
Monitor office supplies, subscriptions and re-order as appropriate
Onboard new employees and volunteers
Ensure all filing is kept up-to-date, relevant and compliant
 
Regularly check receipt of - or chase - reports from grant applicants
Write short readable case studies and summaries for donors, the website and other audiences 
Work with the Marketing Team to prepare occasional press releases based 
Help coordinate the annual donor reporting cycle
Coordinate and manage photographs and photographic releases/consents
Coordinate updates to the charity's website, press and social media presence.
Coordinate logos, print runs and storage of images
Manage invoices and receipts for suppliers
