Fundraising and Communications Compliance Officer

Job description

I am delighted to be working with an amazing animal charity to recruit a Fundraising and Communications Compliance Officer. This 12-month FTC (option of full or part-time) is to support implementation and ongoing adherence implementation of fundraising compliance (including the Fundraising Code of Practice and GDPR) and work with the Head of Fundcomm Compliance and Supporter Experience as follows:

Key Responsibilities and Duties:
Assistance with Strategy development
Assist with the development and delivery of the risk and compliance strategy and develop mitigation strategies (ensuring that they can be delivered in a timely manner)
Assist with delivery of Fundcomm compliance strategies such as data collection, processing, capture, storage, destruction, transfer, profiling.

Assessment and reporting
Assist in the delivery of regular reviews of compliance processes in line with current regulation and legislation (including internal and suppliers).
In collaboration with the Compliance Manager, ensure that actions from recent compliance audits are delivered to meet the requirements for GDPR compliance (in terms of data generation, consent, storage, deletion and consent refreshment, tools and systems)
Prepare internal updates and progress reports and alongside the Compliance Manager update stakeholders on compliance levels and risks and progress against agreed milestones.
Assist in setting up talks, presentations and working with our comms team to devise sector press statements.
Attend meetings and update on progress with other key stakeholders as required such as SLT, Trustee and other governance meetings as required.

Project Management
Work collaboratively with a variety of teams across the charity (such as Fundcomm, Legal, Information Services)
Assist in the delivery of Fundcomm compliance plans with prioritised actions ensuring that we are keeping to agreed deadlines to continue to meet GDPR requirements - covering areas of:
Contracts outlining data processing agreements with the charity's professional fundraising agencies and suppliers acting as data processors
Data sharing (especially via email)
Formal Audit trails
Formalised Compliance manuals for staff
Staff awareness of regulatory and legislation framework they are governed by.
Set up and minute meetings and circulate communications and actions as required. Chasing agreed actions from staff and teams as agreed.
To assist in the production, maintenance and use of team compliance manuals thereby ensuring relevant compliance documentation is in place and updated across Fundcomm teams.
Work with the Legal Team to ensure that third party contracts are in place, include fundraising compliance clauses where applicable and that monitoring and relevant administration is taking place and is stored.
Ensure that correct consent statements and data processing notices are being used, reviewed and tested and that the related data is being processed and stored correctly.
Coordinate stakeholders, develop project plans, monitor and track project progress, measure performance using appropriate tools and techniques and deliver the project to set timescales.
Oversee the day-to-day monitoring and management of the fundraising code of practice and legislation proposals and changes within the industry.

Staff engagement and training
Keep up to date with compliance requirements, legal and regulatory changes, sector trends and best fundraising practice in and ensure that this informs your work and relevant staff are updated accordingly.
Ensure that Fundcomm staff are aware of and assist with training to ensure they are compliant with the legislative and regulatory frameworks that govern fundraisers now and in the future.
Alongside the Head of FundComm Compliance and Supporter Experience, be a first port of call in offering ongoing advice and support on consent, privacy and data protection issues.
Deliver compliance training as required (and assist with training sessions including room booking, invitations, preparation of training materials, and external trainer liaison where applicable).
