Office Manager and PA to the CEO

IET Connect is an independent charity that provides advice, support and financial assistance to members of the Institution of Engineering and Technology and their families. Having run for over 120 years, IET Connect currently supports hundreds of members from around the world and continues to grow.

IET Connect's service is bespoke and everyone who contacts the charity is treated as unique. Support is tailored to meet the needs of the individual, and caseworkers can draw on a broad palette of available services and funding.

IET Connect is seeking an Office Manager and PA to the CEO. The successful candidate would need to offer managerial support to the administration and finance team, overall office and accommodation management. To be responsible for the administration support to the CEO and some financial duties, including the payment of welfare grants, volunteer expenses, oversight of gift aid, the safe receipt and banking of monies and maintain accounting records.

Key responsibilities
providing line management to the administrative assistant and finance assistant and other staff or volunteers as deemed necessary
Managing staff/volunteer working patterns to ensure cover for office hours, absences and peaks in workload
Acknowledging donations from individuals, branches and other sources
maintaining and ordering office supplies, including raising purchase orders for general office supplies, equipment and equipment maintenance
Booking training, conferences and meetings for all staff, Trustees and volunteers
Maintain the condition of the office and arrange for necessary repairs
Preparing for the AGM
Taking minutes at board meetings and distributing to the board
Preparing and filing of statutory forms at Companies House for trustees within the required deadlines

Person specification
Educated to HND, first degree level or equivalent experience
Management qualification
Excellent communication skills across all levels of an organisation, including beneficiaries, Trustees, volunteers and external organisations
Extensive administrative experience and managing an office or admin team
Working in the voluntary sector as a member of staff or a volunteer
Knowledge and experience of Sage or similar computer accounting packages.
