PA to CEO

Job description

A youth charity who are looking to improve the lives of young people are currently looking for a PA to support the CEO. This is a busy, varied and important role supporting the Chief Executive and the organisation. Duties will range from complex diary management, preparation of presentations, providing meeting support and customer service.

Key responsibilities

Proactively manage the Chief Executive's diary; making arrangements for meetings in a timely manner and, where necessary, including booking venues, travel requirements and bookings, circulating associated agendas and papers.

Update Salesforce records with Chief Executive's contacts and meetings

Receive the Chief Executive's correspondence and telephone calls; acknowledging or disseminating information as appropriate

Co-ordination of communications with trustees, where relevant

Manage the quality of Reception welcome and environment ensuring excellent customer service expectations and behaviours are set

Prepare organisational templates, information collation and co-ordination including supporting planning

Person specification

Practical experience of managing a senior manager's diary
Demonstrable practical experience in using Microsoft Office applications to an advanced level
Evident excellent communication skills both verbally and in writing
Proven ability to take and write comprehensive minutes of meetings
Able to evidence good use of management processes and system to ensure activities are planned and followed up appropriately in a timely manner
Proven ability to extract information from various sources and summarise
