PA to CEO

Job description

A children's charity based in Central London are looking for a PA to support the CEO. The successful candidate would need to provide professional, confidential and comprehensive administrative support to the Chief Executive and senior management team (SMT) and from time to time, administrative support for the corporate events. The candidate would also need to act like an Officer Manager ensuring the provision of administrative and other services to the organisation, including personnel matters, staffing issues and taking responsible for the day to day management of the building. To act as secretary to the Board of Trustees and provide administrative support in relation to the role of company secretary.
Key responsibilities
To provide administrative support to the Chief Executive and SMT
To develop and maintain databases and information systems for the SMT, including the provision of reports and data.

To provide administrative support for meetings in general, including organisation of meetings, distribution of papers and minuting of meetings.

To act as secretary of the Board of Trustees and assist the Director of Finance and Resources with the administrative work associated with their role of Company Secretary.

Maintain an efficient HR administration service including maintenance of all staff records in compliance with the Data Protection Act and ensure a high level of confidentiality is maintained.

To plan and co-ordinate the cross team working of the administrative staff within the organisation and line manage if required.

Person Specification

Experience of working in an administrative, secretarial or PA role
Experience of diary management
Experience of planning and organising events and meetings
Experience of using Microsoft Office to an advanced level
Experience of office or resource management
Some experience of managing personnel
Ability to draft minutes of complex meetings and to draft letters and reports
Excellent person management and negotiating skills
