PA to the Director of External Affairs
Job description
I am currently recruiting for a part time (21 hours a week over 5 days) PA to the Director of External Affairs of an amazing health charity on an initial 6-month contract.
The main purpose of the role is to provide high-level PA and administrative support to External Affairs including the Director, the Devolved Nations team, the policy, media and press and public affairs teams, ensuring that a positive and efficient image is maintained at all times.
Key responsibilities include:
Manage the Director of External Affair's diary, act as gatekeeper and central point of contact for both internal and external communication to the Director, ensuring all corporate deadlines are met Monitor email inbox as a seconder and prioritise emails
Provide administrative support including making travel arrangements, processing expenses, reprographics, record keeping and general organising, preparing documents, letters and presentations to publication standards, providing IT support when required
Meetings support: take minutes for meetings as required, ensure smooth running of Directorate-wide meetings including booking rooms/venues, compiling agendas, liaising with contributors and attendees, collating papers, supplying documents and capturing and circulating actions
Ensure record keeping systems are maintained effectively
Assist Heads with processing invoices and expenses, occasional travel arrangements and recruitment administration, support Director and Heads in annual business and budget planning
Provide holiday cover for the other Executive Assistants as and when
Skills:
Excellent administrative and organisational skills: able to anticipate, to plan and to prioritise, good time management skills, comfortable working quickly and juggling different priorities
Excellent verbal and written communication skills, skilled in writing for a variety of audiences
Good interpersonal and negotiation skills, able to build great working relationships with staff and stakeholders, effective team-working skills and naturally collaborative in approach, able to actively listen, understand and accommodate the views of others
IT literacy: Microsoft Office suite
Methodical and accurate, with good attention to detail
Flexible and adaptable, able to respond to change positively and effectively
Experience
Experience of providing PA support in Media, Policy, External affairs or similar background
Experience of working in the Health sector and experience of the NHS
Demonstrated practical daily experience of using Microsoft Office suite
Experience of working in a customer-facing role with significant interactions with external stakeholders
