Secretariat Administrator

Job description

A membership charity are looking for a secretariat administrator. The successful candidate will need to provide the team with high quality executive support to enable them to carry out their duties effectively. They will work with the Secretariat team to provide efficient support for all the Association's governance / committee administration systems. As well as improving business systems and procedures. Please note this role is a FTC for 12 months.
Key responsibilities
Development and maintenance of the day to day operational activities of the executive office as evidenced by the provision of effective, efficient, professional, proactive and confidential support.
Planning and delivering committee and board meetings as evidenced by enhancement of the reputation of the organisation in accordance with the strategic and wider policy objectives of the organisation.
Provision of administration support to the wider Senior Management team as required as evidenced by delivery of tasks.
Management of the diaries of the President, Officers, Chief Executive and the Senior Management team.
Producing an annual committee and board meeting schedule ensuring effective forward planning with room bookings and travel arrangements.
Providing support for all aspects of committee and board meetings from drafting agendas, taking minutes, organising presentations by invited guests to liaising with Facilities for the provision of rooms, AV and catering.
Person specification
Extensive experience of working as an Executive Assistant supporting a CEO and their senior team in a not for profit or similar membership organisation.
Extensive experience of taking Board and committee minutes.
Experience of implementing and streamlining office processes.
Demonstrable experience of drafting reports for senior teams.
