I am currently looking for an experienced Volunteering and Events Officer for an amazing membership organisation. The Volunteering and Events team is responsible for organising a number of centrally run events and conferences, including their flagship event, Fundraising Convention. The team also manage 35 National, Regional and Special Interest Groups which are run by volunteers and offer events, networking opportunities and support to the organisation members and the wider fundraising community.
This temporary role will provide key support Volunteering and Events team. The post-holder will have day to day operational responsibility for customer liaison and booking for all centrally run events. The role will provide customer service, administrative and logistical support for volunteer events and activities. This will include processing financial admin, training and management of the volunteer database and systems for our network of National, Regional and Special Interest Groups.
You will primarily work with Microsoft Dynamix CRM, MS Teams, Zoom, Eventbrite, Excel, event delivery platform, outlook and Word.
The post-holder will:
Be the first/main customer liaison for volunteers, stakeholders, suppliers and event attendees, over the phone and via email
Optimise and manage the events bookings process
Provide effective administrative support for group activities
Provide logistical and effective administrative support to the Volunteering and Events Team
Be the key point of liaison with event attendees and provide excellent and timely customer service, both over the phone and via email.
Register delegates at events and assist with the running of conferences, Fundraising Convention and a range of other events
Collate delegate evaluation feedback for conferences
Administer the website and event booking portals
Process income and liaise with the finance team regarding invoicing issues etc.
Provide frontline support to the 35 Volunteer Groups
General administrative support, to include maintaining accurate details on the volunteer database, volunteer agreement records and MS Teams.
Support the Volunteer Relationship Manager on recruitment of new volunteers
Welcome new volunteers and provide administrative support on their volunteer journey
Manage the content and access to the volunteer hub
Manage event queries and logistics for the volunteers, primarily on Trello and Zoom.
Administer invoices, collate quarterly returns, administer expenses
Process income and liaise with the finance team regarding invoicing issues etc
Day-to-day administration to support the strategic objectives of the team
