Administrative Officer

Harris Hill is proud to be working alongside a fantastic medical research charity who is looking for an well-organised Admin Officer. (This is a full-time role however we are also open to applicants who are looking for part-time hours).

The charity does great work helping to tackle specific diseases that effects many people & are fully committed to saving lives and ending the suffering through ground-breaking research, training and education.
The money raised is invested directly into research to find better treatments and cures, and in training for professionals to care for and help people affected by the conditions. Working with researchers and health care professionals they are always aiming to improve the care for as many people as possible.

The Purpose of the Role

As the successful Admin Officer you will be key to the organisational development of the charity. You will provide support to the busy finance, research, fundraising and communications / marketing functions of the charity and work closely with the Chief Executive. You will also take responsibility for the management of the charity's CRM system.

The aim is for you to work efficiently and accurately on a range of tasks, manage competing priorities across a variety of administrative functions and will be happy to work as part of a small but busy team.
You'll use your experience of key IT packages (ie word, excel, ppt etc.) and be able and willing to learn others packages with which you may not immediately be familiar. You will have a good knowledge of systems and processes including financial reports, minute taking, HR systems and CRM systems. Naturally, you will possess excellent communication skills, both written and oral.

General Administration

Provide efficient IT and administrative support.
Act as the first point of contact for general enquiries and correspondence.
Maintain effective and efficient office procedures and administrative systems on behalf of all areas including filing system, archiving files, scanning, and document maintenance.
Liaise with external consultants as required ie IT support, telephones, CRM.
Take minutes of meetings as appropriate (e.g. Board, team and Committees).

Financial Administration

Process payments.
Prepare fundraising income.
Prepare basic monthly financial information on income and expenditure.
Provide support re bank reconciliation.
Manage & process Gift Aid claims.
Collate staff expenses.


HR

Maintain the HR systems.
Manage bookings for team meetings, awaydays, training etc.
Help ensure the charity's database and systems are compliant with the General Data Protection Regulations (GDPR).

Person Specification

Minimum 2 years of relevant experience, preferably with a charity background.
First class organisational skills.
Excellent attention to detail.
Excellent interpersonal skills and flexibility.
Exceptional written and oral communication skills.
Ability to act on own initiative.
IT literate - knowledge of MS Word, Excel, PowerPoint
Knowledge of Raisers Edge/ETapestry or similar database including management and reporting would be an advantage.
Numerate and confident with spreadsheets and budgets.
