Commercial Coordinator

Job description

A charity are looking for a Commercial Coordinator to provide lettings and administrative support to ensure their properties are let to varied high quality commercial tenants generating income alongside providing spaces that will enhance and engage with users and visitors to sites. The role will sell, promote and deliver to commercial targets for the design studios at some of their large spaces and sites and support the Head of Commercial in other lettings across theestate as well as provide administrative support where required to ensure that the commercial team remain high performing.


Key Responsibilities:
-Proactively investigate and research sources (eg visiting exhibitions, design student degree shows, exploring websites, researching mailing lists, etc) of potential tenants and ensure these sources are made aware of our opportunities.
-Develop and implement a marketing plan to attract high quality tenants to commercial properties.
-Ensure that all details of potential commercial tenants, sales contact and clients are entered correctly and immediately on to the database and that they are kept updated.
-Carry out site visits, respond to lettings enquiries, set up interviews and analyse applications from potential commercial tenants.
- Lead on liaison with the commercial tenants particularly during initial negotiations, whilst setting up on site and throughout their occupation.
-Act as the primary contact for the commercial tenants ensuring positive relationships are maintained at all times, organising and attending regular tenant representative meetings and tenant social events.
-Maintain an up to date register of all commercial legal documentation across the estate.
-Liaise with tenants to schedule lease meetings and update all associated agreements and new agreements in accordance with deadlines. Ensure internal teams and external authorities are updated following any tenant movement across the estate.
-Manage the sales invoice and finance systems including raising appropriate paperwork and returning deposits.
-Provide full support to the Head of Commercial to provide an efficient and effective working environment.

Skills and Experience required:
-Strong administration experience including ideally diary management
-Experience working in a busy diverse sales environment
-Experience developing and maintaining client relationships.
-Experience delivering customer service to a high standard.
-Experience working with databases and administration systems.
-Knowledge of contracts, leases and other legal administration
