Executive Coordinator

Job description

A fantastic new opportunity has arisen for an Executive Coordinator at one of the UK's leading research funders. The charity has a new initiative which aims to ensure that data and AI work for people and society. Ada will work at the intersection of research, policy, technology and public engagement, engaging stakeholders from across the public and private sectors, and ensuring that the development of new data driven technologies is informed by rigorous research into their societal and distributional impacts.

They are looking for an exceptionally organized, can-do individual to join the new team, to undertake a wide variety of administrative tasks and develop the department's operational systems from scratch. The department will be able to draw on support of Foundation staff and systems. Nevertheless, the post holder will be responsible for developing and implementing the administrative foundations that will enable the team to be an effective and agile organisation, from fielding enquiries and managing diaries to assisting with event organisation and media and communications tasks

Key responsibilities
-To provide highly professional, effective and proactive administrative support to the Director and the small team, including all diary management
-To act as the first point of contact for the team dealing with initial enquiries, and drafting correspondence
-To develop and manage good working relationships with all relevant stakeholders within all areas of the business
-To coordinate stakeholder and advisory group meetings from start to finish, overseeing all logistical arrangements including drafting agendas, arranging catering, and taking minutes on the day
-To manage events from start to finish, including booking all travel
-To formulate and implement new standard operating procedures and practices for the team
To provide support for the Trustees and Project Boards, ensuring timely preparation and distribution of papers for all Board and Trustee meetings and to follow up matters arising as necessary
To work on projects across the business as needed, managing multiple projects at once
To undertake ad hoc projects as required

Person specification
-Experience of Working as a Senior Administrator or at a similar level ideally within a small organisation or project
-Experience of managing a complex diary and workload, prioritising tasks
-Experience of Budgets and monitoring spend
-Experience of drafting agendas and minute taking of complex meetings
-Developing stakeholder relationships both internally and externally
-Providing support to Trustees and Project Boards
-Project Management
-Events Management
-Working in a grant making or charitable organisation
