Fundraising Systems Manager

Job description

An international charity are looking for a Fundraising Operations Manager to oversee the day to day management of suppliers used to process donations for the charity to ensure data and donations re processed accurately and efficiently and excellent supporter care is provided.

You will also be responsible for improving the fundraising processes and systems used and will design and take forward the strategic development of data and donation processing systems.

You will line manage a Supporter Care Coordinator, overseeing Gift Aid management and the financial reconciliation of income processed by suppliers.

Key Responsibilities:
-Day to day management of the network of suppliers used to process donations and data, building strong relationships with suppliers
-Ensure donations are processed correctly and in a timely manner; maintaining excellent levels of supporter care to build supporter loyalty
-Advise and enhance, where possible, the data flows between MSF and suppliers and between external suppliers; ensuring business process maps are developed and up to date
-Troubleshoot problems and provide solutions to improve data and donation processing, including Gift Aid systems
-Develop and maintain systems to monitor the daily transfer of data files between fundraising agencies and the donation processing and fulfilment agency
-Provide support to the Supporter Services Coordinator in the production of the monthly Gift Aid claim and support in liaising with suppliers around financial reconciliation processes and data
-Establish and oversee a quality assurance system to audit and spot check donation processing and fulfilment
-Support the fundraising team in drafting correspondence to supporters relating to issues in donation processing
-Ensure suppliers are kept up to date about current and forthcoming campaign activity, create briefing documents for suppliers to provide a detailed overview of forthcoming campaigns and processing requirements
-Help set up the fundraising operations elements of appeals from campaign response design through to live processing
-Develop and maintain systems to monitor campaign set up; ensuring the operational side of campaigns are working as expected
-Develop and maintain a process documentation system of internal processes carried out by the Fundraising team
-Maintain an overview of operational processes across suppliers and internally
-Establish and maintain up to date documentation of the systems set up at fundraising suppliers, including mapping data flows and interdependencies between suppliers
-Line Management of the Supporter Services Officer


Skills and Experience required:
-Hands on experience of running fundraising operations in a complex environment
Extensive experience of supplier management in a fundraising setting across a variety of supplier types
-Working knowledge of Gift Aid with the ability to work through complex queries from supporters
-Good interpersonal and negotiating skills which show an ability to manage and build relationships with supporters, external suppliers as well as with colleagues
-Ability to understand data flows and translate into clear and concise process mapping documentation
-Proven ability to manage projects effectively to include planning, implementation and evaluation
-Excellent planning, time management and project management skills with an ability to carry out different tasks simultaneously and prioritise time and resources accordingly
-A proven track record in managing a busy workload to deadlines whilst maintaining attention to detail on the job at hand
-A level of analytical and technical knowledge in the area of data and donation processing
-Ideally experience of charity database systems, within a supporter care environment
