Virtual Support Service Administrator

Job description

I am excited to be working with an amazing bereavement charity looking for a Virtual Support Service (VSS) Administrator. As Administrator you will ensure the smooth running of the virtual service and carry out administrative duties as required by the Service Manager, to support direct service delivery and volunteer support.

Main duties:
Deal sensitively with telephone, post and email enquiries, screening and directing calls and emails in line with procedures
Prepare information for clients, prospective volunteers and funders
Carry out administrative tasks associated with training courses etc.
Maintain a secure filing system and keep accurate and secure record systems, using the organisational database and in line with GDPR
Ensure staff and volunteers have a supply of stationery and literature
Provide support to funding managers and the information gathering for funding applications
Support the Service Manager, Service Coordinator and Training and Volunteer Coordinator with administrative duties, including staff and volunteer DBS applications
Support implementation of online Understanding your Bereavement Sessions.

Client and volunteer support:
Support the Service Manager and Coordinators with communications to volunteers and clients including through newsletters, social media and the distribution of information in paper or electronic format.
Facilitate bookings to ensure that client work and volunteer support can take place in an efficient manner.
Accurately input data including evaluation feedback into the Information System and assist with reporting and monitoring for quality purposes.
Carry out such other duties as may be reasonably required from time to time, including supporting the duties of the Service Manager and Coordinators.
Attend relevant meetings as required by the role, convene meetings and be self-administrating.
Undertake such other duties and tasks as may lie within the scope of this post to ensure the effective delivery and development of services.

Essential experience:
One or more years' experience of providing administration assistance in office environment
Experience working with databases including the inputting and reporting of information
Experience in administering filing systems
Experience of processing financial transactions
